Job Purpose:
To assist the HR corporate support services department in daily works such as HR Help Desk (Customer Service), Office Management (Office Assets, Stores Items, Meeting / Event Refreshments & Arrangement) and Document Control & Filing (Log Books, Registration, Filling System) distribution within DWTC.
Core Duties and Responsibilities:
- Providing effective customer service to HR Functions, Employees and Business Units assisting with their required queries or services.
- Document Control & Filling (scanning, copying, binding, folding, wrapping, distributing etc) and Collection of documents within DWTC and distribution of incoming/outgoing mail to the respective floors ensuring it is listed in the log book. Document handling, delivery and filing to ensure prompt action and maintain proper track record.
- Office Management ensuring the assets, setups and all areas are well maintained, clean and functional.
- Maintaining adequate par stock level of office and catering supplies ordering from the general store requisition and highly considering cost saving efficiency on usage.
- Employee File System, sending email correspondence and creating trackers and labels for the employee files and services provided by the HR Management.
- Preparing and serving office refreshments for VIP and corporate visitors.
- Other duties as needed or required and deals with confidential information and/or issues using discretion and judgment.
Operating Environment:
- This is a field and office based job which might require working longer hours, with physical and office activities.
- The employee should have Good Communication Skills, possessing Honest and Responsible character and could maintain confidentiality.
- The role is based indoor and outdoor exposure with walking so proper health and hygiene to be maintained at all times.
Educational Qualification:
Graduate / Diploma or equivalent Professional Qualification
Work Experience:
At least 2 to 3 years relevant experience in Office Assistance / Administration.
Skills & Knowledge:
Basic MS Office applications such as Word, Excel, Power point & Outlook
